Interview recordings and transcripts are processed only with your consent or another lawful basis.
When we collect personal data
We collect personal data when you apply through our website, upload documents, communicate with our recruitment team, or use a third-party source such as LinkedIn to share information. We may also contact candidates using information from public websites or other lawful third-party sources.
Purpose and legal basis
We process personal data to assess whether you meet the requirements of a role, manage the recruitment process, communicate with you, comply with legal obligations such as right-to-work checks, protect and enforce our rights, and take steps before entering an employment contract. Depending on the circumstances, the legal basis is your consent, steps prior to a contract, a legal obligation or our legitimate interest in efficient, secure recruitment and assessing candidate suitability. By submitting your application, you confirm that the information provided is accurate.
Consent
Where processing is based on consent, you provide consent by checking the box in the application form and submitting your personal data. You are not required to provide information, but without certain information we may be unable to assess or progress your application. You may withdraw consent at any time with future effect. Withdrawal does not affect processing already carried out lawfully.
Data retention
Applicant personal data is retained for six months from the date a decision is made on the application. After this period, Salt Stream may ask for new consent to retain your data for future opportunities. If you accept employment, relevant recruitment data becomes part of your personnel file and is retained according to applicable legal requirements.
Special categories of personal data
We do not intentionally collect special categories of personal data during recruitment. Where strictly necessary and legally permitted, limited health or disability information may be processed with appropriate safeguards to provide reasonable adjustments. If you voluntarily provide sensitive information, you authorise Salt Stream to process it only for lawful recruitment purposes and to the extent permitted by law.
Use of AI-enabled systems
AI-enabled features may support documentation, transcription, summarisation, search, drafting or translation of recruitment-related information. CVs and written answers may be summarised solely for administrative convenience and remain subject to full human review. AI features are not intended to make decisions producing legal or similarly significant effects. Interviews are recorded or transcribed using AI only with your consent or another lawful basis.
